Privacy Policy

Colt Connect is a limited, parent-operated school-information pilot. This policy explains how it accesses and uses information when an authorized parent connects a Google account.

Information accessed

With the account holder’s permission, Colt Connect may access relevant Gmail messages and their sender, recipient, subject, body, links, and attachments. It also processes parent-configured family routing labels, such as a child’s first name and grade. Colt Connect does not request a Gmail password.

How information is used

Information is used only to identify school communications, extract action items and dates, organize updates by child, archive requested school files, and email an authorized family digest. Colt Connect does not delete, archive, label, or modify Gmail messages.

Storage and security

Authorization credentials are stored in Google Secret Manager. Processed message identifiers, extracted summaries, and archived school attachments may be stored privately in Google Cloud to operate the digest and avoid duplicate processing. Access is limited to the authorized family workflow and its service accounts.

Service providers and sharing

Google Cloud provides hosting, storage, scheduling, and Gmail access. OpenAI processes relevant message and newsletter content to create structured summaries. Information is not sold, used for advertising, or shared with unrelated third parties. Digest emails are sent only to recipients authorized by the account holder.

Google API data

Colt Connect’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Children’s information

Colt Connect is a parent-facing tool and is not offered directly to children. It processes school information under the direction of an authorized parent. It is not an official service of Clovercroft Elementary School or Williamson County Schools.

Retention and deletion

Operational records and archived school files are retained while the family pilot is active or until deletion is requested. The account holder can revoke Google access through their Google Account security settings and can request deletion of stored Colt Connect data by emailing the address below.
